UKARA Database Privacy Policy

In addition to our Privacy Policy, the following also applies to personal information provided via the request form for UKARA registrations, renewals, or updates:

UKARA Database Specifics:

We collect, process, and store the personal data given for the purpose of registering you as an active airsoft player on the United Kingdom Airsoft Retailers Association (UKARA) database, along with renewing your registration or updating your details.

If you have requested a new membership:

  • We will add your personal data to Gunman Airsoft Ltd’s membership database (further information below).
  • We will also add your personal data to the UKARA database. Once your data has been added
    to their database, Gunman Airsoft Ltd and UKARA will be joint controllers of your data as contained on the UKARA database. Please see UKARA’s privacy policy for details of how they handle your personal data.

If you have requested that we renew your registration, or update your details, we will alter the record held on the UKARA database in line with your request.

Gunman Airsoft Ltd Membership Database Specifics:

The purpose of the Gunman Airsoft Membership Database is to assign you a unique membership number, and to record the initial data which you have requested us to add to the UKARA database.

Data saved on the system is membership number, name, postcode, email address, and date of birth.

Retention of data is nominal in perpetuity, and is to cover Gunman Airsoft Ltd should the legality of a sale or import of a Realistic Imitation Firearm (RIF) made under your membership number be challenged in the future.

The database is stored on a local PC and is protected by file-level AES256-CBC encryption. A backup of the encrypted file is also maintained with a major cloud storage provider where it is further protected both in transit and at rest by additional AES-GCM encryption. The files are only accessible by individuals who are directly involved in the management of Gunman Airsoft Ltd

Data is not available to, or accessible by any third-party organisation, individual, or for any other purpose other than directly related to providing the service of creating and maintaining a membership record on the UKARA database..

You have the right to obtain from us a copy of the personal data that we hold for you, and to require us to correct errors in the personal data if it is inaccurate or incomplete. You also have the right at any time to require that we delete your personal data.
